1. Operating Entity

PropertySuite is operated by Propertysuite L.L.C-FZ, a Limited Liability Company registered in the Meydan Free Zone, Dubai, United Arab Emirates (Licence No. 2649715.01), with registered address Meydan Grandstand, 6th Floor, Meydan Road, Nad Al Sheba, Dubai, United Arab Emirates. All payments processed through PropertySuite are handled by Propertysuite L.L.C-FZ. Service execution is coordinated through the PropertySuite Certified Partner Network as described below.

2. Platform Scope & Accounts

These Terms govern your use of the PropertySuite platform, which comprises the Owner Portal (propertysuite.ae), TenantSuite (tenantsuite.ae), the Partner Portal (partners.propertysuite.ae), AgentSuite (agents.propertysuite.ae) and DeveloperSuite (developers.propertysuite.ae, access by invitation only), together with the public website, the service marketplace and the property valuation tool.

Service Providers: if you deliver services through the Partner Portal, your relationship with us is governed primarily by the separate PropertySuite Service Provider Agreement accepted during onboarding; these Terms apply to your use of the platform itself.

You must provide accurate information when creating an account and keep your credentials confidential. Accounts are personal; access for colleagues or team members must run through their own accounts. We may suspend or terminate accounts that are used to violate these Terms or applicable law, or to abuse the platform (including scraping, unauthorized access attempts, or misuse of contact features). You may close your account at any time by contacting info@propertysuite.ae. Closure requests are handled by our team; where your portal offers a self-service closure option, you may use that instead. Certain records survive closure because we are legally required to keep them (for example invoices, payment records and identity checks); which records, and for how long, is set out in section 9 of our Privacy Policy.

Account created at booking: where we offer checkout without prior registration, completing a booking creates a PropertySuite account for you using the details you provide, and you accept these Terms as part of the checkout.

3. Service Delivery via Certified Partner Network

Certain services such as snagging inspection, Golden Visa application support, Ejari registration, POA notarization and similar professionally licensed services are performed by UAE-licensed third-party providers who are part of the PropertySuite Certified Partner Network.

PropertySuite assumes responsibility for:

  • Selection and qualification of partners
  • Booking, scheduling and customer communication
  • Payment processing and invoicing
  • Quality assurance and reporting

The professional service itself is performed by the respective partner. PropertySuite is liable solely for coordination and intermediation services. Identity and license number of the assigned partner can be requested in writing at info@propertysuite.ae and will be disclosed within 5 business days.

Quote-based services:

  1. You submit a request describing the work. This is an invitation for us to quote, not a binding order.
  2. We, or the assigned Certified Partner, issue a written quote through the platform or by email. A quote is valid for 14 days unless it states otherwise.
  3. A binding contract is formed when you confirm the quote in writing or pay the quoted amount, whichever occurs first.
  4. If the scope changes after confirmation, we issue a revised quote for the difference before performing additional work. We will not charge more than the confirmed amount without your prior written agreement.

4. Disbursement of Government Fees

Where a service includes government fees, regulatory charges or comparable third-party costs (e.g. GDRFA visa fees, Land Department fees, Notary fees, RERA Ejari fees), these are paid on behalf of the customer to the relevant authority and are included in the bundled price displayed at checkout.

Such pass-through amounts are treated as disbursements (out of scope of UAE VAT) in accordance with FTA Public Clarification VATP013. The customer is the legal payer of these fees and authorizes Propertysuite L.L.C-FZ to settle them on their behalf.

5. Right to Information & Provider Disclosure

The customer has the right to request, in writing, the identity of the specific Certified Partner assigned to their booking. Upon written request to info@propertysuite.ae, PropertySuite will provide within 5 business days:

  • Provider company name
  • UAE license number
  • Insurance coverage details

PropertySuite maintains complete partner documentation in internal records for compliance with UAE Consumer Protection Law (Federal Law 15/2020) and tax audit purposes.

6. Pricing

All prices displayed at checkout are final and inclusive of:

  • Government fees where applicable
  • All partner fees

No additional charges will be billed without prior written agreement.

7. Refunds & Cancellation

7.1 Binding booking. A booking is binding once you have paid for it or, for a quote-based service, once the contract is formed under section 3.

7.2 If we cannot deliver. If we determine that we cannot perform a booked service, or we perform it only in part or not as agreed and cannot put it right, we will tell you without delay and refund the amount you paid for the part not delivered to the original payment method. Government fees already paid to an authority are refunded to the extent the authority refunds them.

7.3 Before work starts. You may cancel a booking before work on it has started. We then refund the amount paid, less third-party costs already incurred on your behalf, which we will itemise.

7.4 Your cooperation. Many services depend on you: providing documents and information, signing forms, attending appointments in person (for example, the Dubai Land Department requires Golden Visa applicants to apply in person) and paying authority fees when due. If a service is delayed or cannot be completed because you have not done what it requires of you, that is not a failure on our part to deliver, and clause 7.2 does not apply. If you have not done so within 30 days of our written reminder, we may close the booking under clause 7.6.

7.5 How the fee is earned. The fee for a service is earned as the work progresses. The coordination fee is fully earned once your application or file has been prepared and submitted, or is ready for submission and waits only for your action. Government fees and other third-party costs are earned when they are paid.

7.6 If you cancel after work starts. If you cancel a service after work on it has started for a reason that is not our fault, or we close a booking under clause 7.4, we keep the part of the fee already earned under clause 7.5, together with third-party costs already incurred, and refund any remainder. Work starts at the earliest of: our assignment of a Certified Partner to your booking; our first request to you for documents or information; or any submission or payment to an authority on your behalf.

7.7 Decisions of authorities. A refusal, delay or change of fees by an authority, developer or bank is not a failure on our part to deliver.

7.8 Mandatory law. This section does not limit any right that mandatory law applicable to you grants and that cannot be excluded by contract.

8. Liability

8.1 Our role. We coordinate the services you book with reasonable skill and care. The professional service is performed by the Certified Partner, which is responsible for it under its own licence. On request we will name the Certified Partner and assist you in pursuing a claim against it.

8.2 What we are not responsible for. We are not liable for: (a) loss of rent, income, profit, opportunity or property value; (b) indirect or consequential loss; (c) decisions, delays or fee changes of authorities, developers, banks or owners' associations, including the refusal of a visa, permit or registration; (d) the condition of your property or its contents, or damage to them, unless caused by our own gross negligence or wilful misconduct; (e) acts or omissions of tenants, occupants, neighbours or other third parties not engaged by us.

8.3 Limit. Our total liability arising from or in connection with a booking is limited to the fees you paid to us for that booking, excluding government fees and other amounts passed on to third parties.

8.4 Exceptions. Nothing in these Terms excludes or limits liability for fraud, gross negligence or wilful misconduct, for death or personal injury, or any other liability that cannot lawfully be excluded or limited.

9. AI-Assisted Features

Parts of PropertySuite use AI systems, described in detail in section 5 of our Privacy Policy. This includes automated responses in WhatsApp conversations until a team member takes over; AI-generated document and tenancy-contract data extraction; the reading of identity documents you have provided (passport, Emirates ID, visa) to record their type and expiry date; AI-drafted email responses reviewed by our staff; the help chat; AI-generated property value estimates; and, for job applicants, an AI-assisted first ranking of applications that our team triggers and reviews.

AI output can be wrong. AI-generated content on the platform is provided for information and convenience. It is not legal, tax, investment or valuation advice, and data extracted by AI from documents may contain errors; verify important values against the original document. Where an AI system communicates with you directly (for example on WhatsApp), you can always request a human response.

10. Property Valuation Tool

The public valuation tool produces an automated estimate based on Dubai Land Department market data and statistical models. It is not a formal property valuation, not an appraisal within the meaning of RERA/Taqyimee or RICS standards, not a survey, and not investment advice. Actual sale or rental prices can differ materially. Do not make purchase, sale or financing decisions based solely on this estimate.

11. Platform Availability & Content

We provide the platform with reasonable skill and care, but on an "as is" basis: we do not guarantee uninterrupted availability, and scheduled or emergency maintenance may cause downtime. Market data shown on the platform (including Dubai Land Department transaction data) is provided under the Dubai Pulse open data licence and may contain errors or gaps originating from the source.

You retain ownership of content you upload (documents, photos, files). You grant us the licence needed to store, display and process that content in order to provide the services, including the AI processing described in section 9 and in our Privacy Policy.

12. Communication

By booking a service, you consent to communications from PropertySuite via email, in-app notifications, and (where you have provided your phone number) WhatsApp regarding your booking, case progress, and related operational matters. Messages you receive from us on WhatsApp may be generated with AI assistance as described in section 9.

Marketing messages (for example monthly market value updates for a property you had valued) are sent only where you have opted in. Every such message contains an unsubscribe link, and an unsubscribe or withdrawal is recorded and checked before any further marketing message is sent. Notification preferences for operational messages can be managed in your portal settings.

13. Data Privacy

Personal data is processed in accordance with the UAE Personal Data Protection Law (Federal Decree-Law 45/2021) and, for users in the European Economic Area, the United Kingdom or Switzerland, the data protection law applicable to them (including the GDPR). Data shared with Certified Partners is limited to what is strictly necessary to deliver the booked service. Government fee receipts may bear the customer's name as required for VAT disbursement compliance.

14. Governing Law & Jurisdiction

These terms are governed by the laws of the United Arab Emirates and the Emirate of Dubai. Any disputes shall be resolved exclusively by the onshore courts of the Emirate of Dubai (excluding the DIFC Courts).
